Who I am
I am Monique Alder, a homeopath trading as Monique Carmen. I am the data controller for the personal information described in this policy, which means I decide how and why it is used.

What information I collect
I collect only what I need to respond to you, arrange appointments and treat you.

When you use the contact form or email me: your name, email address, phone number and whatever you write in your message.

When you book an appointment: your name, email address, phone number, the appointment type, date and time, and any message you add.

When you pay online: your name, billing address and the amount paid. Card details go directly to the payment provider. I never see or store your card number.

When you complete the Clinical Questionnaire before a first appointment: information about your health, medical and family history, lifestyle and the symptoms you want help with.

During and after consultations: my case notes, the remedies I prescribe and how you respond to them.

When you sign up for updates and news: your name and email address.

When you create an account or comment on the blog: your name, email address and anything you post.

When you browse the website: technical information such as your device, browser and pages visited, collected through cookies (see below).
Information about your health is called “special category” data in UK law and has extra protection. I treat it as confidential.
If you book for a child or another person, I collect the same information about them, and your details as the person responsible.
Why I use it and my legal basis
UK data protection law requires me to have a lawful reason for each use of your information.

Replying to your enquiry: legitimate interests (answering people who contact me).

Booking, confirming, changing and reminding you about appointments: contract (providing the service you asked for).

Taking payment and issuing invoices or receipts: contract, and legal obligation for tax and accounting records.

Taking your case, prescribing and keeping case notes: contract, together with your explicit consent for health information.

Sending a prescription to a homeopathic pharmacy: contract, together with your explicit consent.

Sending updates and news: consent. You can unsubscribe at any time.

Keeping records in case of a complaint or insurance claim: legitimate interests and, where it applies, legal claims.
For health information I rely on your explicit consent, which I ask for on the Clinical Questionnaire. You can withdraw consent at any time by contacting me. If you do, I may not be able to continue treating you, and I may need to keep existing records for the period set out below.
I do not sell your information, and I do not use it for automated decision-making or profiling.
Who I share it with
I share your information only with the services I need to run my practice, and only as far as each one needs it.

Wix: my website, booking system, booking emails, questionnaire, contact forms, invoices and receipts.

Wix Payments and PayPal: card and PayPal payments.

Google: video appointments on Google Meet.

Apple: my appointment calendar, which shows your name and appointment time.

My email provider: emails between us.

Homeopathic pharmacy (Stellar Online): your name, delivery address and prescription, so that remedies can be sent to you.

HM Revenue & Customs: payment records, where required.
I may also share information if the law requires it, or if I believe you or someone else is at serious risk of harm. Wherever possible I would talk to you first.
I do not record video appointments.
Where it is stored and how I protect it
Your booking details, questionnaire answers and payment records are held in my Wix account. My case notes are kept in RadarOpus, a dedicated, password-protected homeopathic software system on my computer, which is itself password-protected. Paper copies of intake forms are kept in a locked cabinet.
Some of the companies listed above store information outside the United Kingdom, including in the European Union, the United States and Israel. Where that happens, they are responsible for applying the safeguards UK law requires for international transfers. You can read how each handles this in their own privacy policies.
I protect your information by password-protecting the accounts and devices that hold it, keeping my devices locked and up to date, and not discussing your case with anyone without your permission.
Email is not a fully secure way to send sensitive information. Please use the Clinical Questionnaire for health details where you can.
How long I keep it

Client records, questionnaires and case notes: 7 years after your last appointment.

Invoices, receipts and payment records: 6 years, for tax purposes.

Enquiries that do not lead to an appointment: up to 24 months.

Updates and news mailing list: until you unsubscribe.
At the end of these periods I delete or securely destroy the information.
Your rights
Under UK data protection law you have the right to:

ask for a copy of the information I hold about you

ask me to correct anything that is wrong or incomplete

ask me to delete your information, where I have no lawful reason to keep it

ask me to restrict or stop using your information in certain circumstances

ask for your information in a form you can pass to another practitioner

withdraw consent at any time, where I rely on consent
To use any of these rights, email monique@moniquecarmen.com. I will reply within one month and there is normally no charge.
If you are unhappy with how I have handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Cookies
My website is built on Wix, which places cookies on your device. Some are essential for the site to work, for example to keep a booking in progress or keep the site secure. Others measure how the site is used. You can accept or refuse non-essential cookies using the cookie banner, and you can block or delete cookies in your browser settings.
Emails from me
If you book an appointment you will receive emails about that booking: confirmations, reminders, changes and receipts. These are part of the service and are not marketing. I do not send text messages.
I send updates and news only to people who have signed up for them. Every email includes a way to unsubscribe.
Links to other websites
My website links to other sites, such as Instagram and homeopathic pharmacies. I am not responsible for how those sites use your information, so please read their own privacy policies.
Changes to this policy
I will update this policy if the way I handle your information changes. The date at the top shows when it was last revised.
